Implementation Process

Collaboration & Community

At Holistic Wander, we weave together holistic health, sustainable travel, corporate wellness, and immersive cultural experiences to create journeys that transcend well-being, fostering profound personal and collective transformation. Our Conscious Wellness Events and Programs are delivered through a streamlined five-step process—Intake, Consultation, Agreement, Launch, and Evaluation—designed to align seamlessly with your organization’s needs. This approach ensures a smooth transition, whether you select a pre-set or tailored solution, driving employee well-being and organizational success. Join us in crafting enriching experiences that elevate people and nurture the planet.

1. Intake: Understanding Your Needs

PURPOSE: Gather essential information to tailor programs, travel or special event to your unique context.


PROCESS:

  • Form Submission: Your journey begins with the completion of the Holistic Wander Intake Form (available in digital or PDF format). This comprehensive questionnaire collects details about your brand, group size, demographics, culture, wellness goals, budget considerations, and logistical preferences.
  • Review: Within 3-4 business days of submission, our team analyzes your responses to identify key priorities, challenges, strategies, and opportunities specific to you.
  • Preparation: We use this data to prepare for the consultation, ensuring a productive discussion tailored to your needs.
  • Duration: Approximately 15-30 minutes to complete the form, depending on detail provided.
  • Outcome: A foundational understanding of your organization, enabling us to propose a program that resonates with your vision and workforce.

2. Consultation: FREE 1-Hour Meeting

PURPOSE: Assess your needs in depth and holistically customize the program to align with your goals.


PROCESS:

  • Scheduling: After receiving your intake form, we contact your primary contact to schedule a free 1-hour consultation at a time convenient for your team (available in-person, via phone, or video conferencing).
  • Discussion: Our wellness experts meet with you, any other representatives (and other stakeholders, if desired) to:
    • Review intake form responses and clarify any details.
    • Explore your wellness objectives, employee needs, and organizational culture.
    • Discuss event or pre-set program options (3, 6, or 12 months) and potential customizations (e.g., focus areas, delivery methods, resources, tools, etc).
  • Proposal Preview: We present an initial outline of how the program could look for your organization, including recommended phase duration, key activities, and estimated costs.
  • Q&A: Time is reserved for your team to ask questions and provide feedback, ensuring alignment before moving forward.
    Duration: 1 hour.
    Outcome: A shared understanding of your needs and a preliminary plan, setting the stage for formal agreement.

3. Agreement: Sign and Select Phase

PURPOSE: Formalize the partnership and confirm program details.


PROCESS:

  • Proposal Delivery: Within 5-7 business days of the consultation, we send a detailed written proposal including:
    • Event outline or program phase selection (3, 6, or 12 months).
    • Customized or pre-set program structure, with a timeline and activity breakdown.
    • Pricing (total cost or per-employee fee) and payment terms.
    • Terms and conditions, including roles and responsibilities.
  • Review and Negotiation - Decision: Your team reviews the proposal, with the option to request adjustments (e.g., tweaking activities or budget).
  • Signing: Once approved, HR signs the contract electronically or in hard copy, locking in the selected phase and scope.

Deposit: A deposit (e.g., 25% of total cost) may be required, depending on payment terms, with the remainder invoiced per the agreed schedule.
Duration: 1-2 weeks, depending on internal approval processes.
Outcome: A signed agreement that solidifies the partnership and chosen program phase, readying us for launch.

4. Launch: Kick Off with Onboarding and Initial Activities

PURPOSE: Introduce and orientation to the event or program and begin building momentum.


PROCESS:

  • Pre-Launch Prep: Our team coordinates with you and your team to finalize any final logistics (e.g., scheduling, tech setup for virtual components, on-site arrangements). Employees receive a welcome email with program details and app access (if applicable).
  • Onboarding Event: We host a kickoff session (virtual or in-person, 1-2 hours) to:
    • Introduce the program’s purpose and benefits.
    • Conduct initial assessments (e.g., health surveys, biometric screenings if applicable).
    • Engage employees with a sample activity (e.g., mindfulness exercise).
  • Initial Activities: The first week launches foundational tasks, such as daily mindfulness sessions or a fitness challenge, to spark enthusiasm.
  • Support: A dedicated Holistic Wander program manager is assigned to oversee rollout and address early questions.
  • Duration: 1-2 weeks from agreement to full launch.
  • Outcome: Members are onboarded, excited, and actively participating in the program’s initial phase.

5. Evaluation: Regular Progress Reports and Final Impact Assessment

PURPOSE: Monitor progress, adjust as needed, and measure overall impact.


PROCESS:

  • Ongoing Monitoring:
    • For 6- and 12-month programs, we provide monthly progress reports summarizing participation rates, employee feedback, and early outcomes (e.g., stress reduction, engagement scores).
    • For the 3-month program, a mid-point check-in (Week 6) replaces monthly reports.
    • HR and the program manager meet briefly (30 minutes) to review findings and tweak the program if necessary (e.g., shifting focus based on employee needs).
  • Final Assessment: At the end of the selected phase:
    • Managers and team members complete a post-program survey and final biometric screenings (if applicable).
    • We compile a comprehensive impact report detailing health improvements, engagement metrics, ROI estimates, and qualitative feedback.
    • A wrap-up meeting (1 hour) with HR reviews results and discusses next steps (e.g., extending to a longer phase).
    • Sustainability Plan: For 12-month programs, we include a strategy session to empower internal “Wellness Champions” to maintain momentum post-program.
    • Duration: Ongoing throughout the program, with a final assessment completed within 2 weeks of program end.
    • Outcome: Clear evidence of the program’s success, actionable insights for the future, and a roadmap for sustained wellness.


After your journey with us, we encourage a period of reflection. We provide you with tools such as journaling prompts and mindfulness exercises to help you process and integrate your experiences. This step is crucial in transforming your life into forever lasting personal growth. We also invite you to share feedback with us, as your insights help us continually improve our services and better meet your needs in future events and travels, whether solo or in a group.
